In this role, you’ll support a small, close‑knit leadership group, taking ownership of day-to-day administration and ensuring everything runs smoothly, efficiently and quietly.
The rhythm of your day
- You’re the person who walks in at 8am and immediately knows what needs to happen next.
- Own the office: first point of contact for visitors and calls, meeting and boardroom prep, kitchen and supplies, mail, couriers and the small details that keep the place humming.
- Keep systems sharp: maintain key and security registers, IT and licences, Yealink phones and Office Online filing; spot clutter and simplify it into a clean, logical structure.
- Support the leaders: coordinate complex diaries, stakeholder meetings and corporate travel, including frequent flyer programs, visas and the “what could go wrong?” thinking.
- Orchestrate the moving parts: contractors across Broome, Down South and other private properties, monthly morning teas, sundowners and the Christmas party.
- Champion smooth tech: liaise with external IT, keep systems stable, and start to explore how AI and automation can make the office more efficient.

What success looks like
- In the first 3 months, you’re in the rhythm, the office runs smoothly, travel is handled confidently, and Directors trust that what they ask for will be done.
- By 6 months, filing is reorganised and working, contractor coordination is seamless, events are handled without fuss, and IT and systems just work in the background.
- At 12 months and beyond, you’re the operational anchor, proactively improving things, exploring AI and automation, and gradually stepping into a broader Senior EA remit as trust deepens.
What you bring
- Office experience as an Executive Assistant and/or Office Manager, or clear aptitude to operate at that level.
- Strong Microsoft Office skills, with Excel at a basic level minimum.
- Excellent communication and a sharp eye for detail.
- Proven ability to juggle competing priorities without losing your composure.
- Professional presentation and a natural, approachable manner in a high-trust, private environment.
- Experience with travel bookings, personal or corporate; familiarity with corporate travel and frequent flyer programs is a bonus.
- Bonus points for experience in a family office, private company or professional services setting, contractor or property coordination, and curiosity about AI and automation.
This won’t suit someone who needs micromanaging, brings drama, lacks discretion or has only operated in a narrow professional bubble.
