Bid Coordinator
Location:
Perth WA, Australia
Job Type:
Permanent Full Time
You know that feeling when a tender drops, the clock starts, and somehow you’re the calmest person in the room? That’s who we’re looking for.
The role in a nutshell:
You’ll sit at the heart of a values‑driven construction business that “builds and delivers” quality outcomes across WA, with a big focus on wellbeing, reliability and doing what we say we’ll do.
What you’ll actually do:
You’re the organiser, chaser, editor and finisher who turns moving parts into winning submissions.
You will:
- Own the end‑to‑end bid and tender process – from identifying opportunities through to polished, on‑brand submissions that hit every requirement and deadline.
- Be the central contact for all tender queries, keeping documents, portals and tracking systems neat, current and easy for others to navigate.
- Work closely with major projects, design, estimating and marketing to pull in the right info, tighten up the story and make sure every response is clear, accurate and client‑focused.
- Prepare, proof and format bid documents so they read well, look sharp and align with brand guidelines (not “just another template”).
- Track live bids, report on progress and keep stakeholders updated so deadlines never sneak up unannounced.
- Support with pricing admin, quotes and sample drawings – checking that what goes out can actually be built and delivered.
Think:
Fewer photocopies, more influence on what the client sees on page one.
The kind of human who will thrive here:
Tender land is not for everyone. This will suit someone who is detail‑obsessed, people‑savvy and quietly competitive about winning.
You might be:
- A high‑performing Document Controller or Project Admin who has outgrown “attach and send” and wants more ownership and complexity.
- A natural planner who loves a colour‑coded schedule, but can still pivot calmly when a key input arrives at 4:45 pm.
- The person others trust to “word this better”, spot inconsistencies and ask “does this actually answer the question?” before it goes out the door.
- You’ll enjoy collaborating with technical teams, managing a queue of moving parts and turning pressure into focus rather than drama.
What you bring:
- We’re not expecting you to have written billion‑dollar megaproject bids, but you do know your way around construction and tender processes.
- Experience in construction (ideally with exposure to regional or resources‑related projects).
- Proven background in tender, bid, submissions or strong document control work where deadlines and detail mattered.
- Confident using tender portals (Aconex, similar), Microsoft Office and Adobe, and quick to learn new systems.
- Excellent written communication – you care about clarity, structure and consistency.
- Super organised, calm under pressure, with a genuine “I’ve got this” approach when timelines tighten.
- A degree in Commerce, Marketing, PR, Business, or a similar field will be well regarded, but it's not the only way you’ve earned your stripes.
Why you’ll like it here:
This is not a sweatshop bid room. It’s a team that genuinely puts people and wellbeing first, and believes you do your best work when you’re trusted and supported.
You can expect:
- Hybrid, flexible working – design a rhythm that works for your life as well as your deadlines.
- A competitive salary - $90-$120k + super
- A values‑driven environment where achievement, intuition and reliability actually mean something day to day, not just in the annual report.
- A tight, collaborative major projects team who will value your structure, your eye for detail and your ability to keep everyone on track quietly.
If you like the idea of being the steady hand behind winning bids – and you’re ready to step up from “support” to “owning the process” – we’d love to hear from you.
